Using your Enter key is the same as clicking your Submit button. If it is easier to hit Enter rather than click Submit you can save time.
Your system is managed online. There is no need to download anything to your pro shop computer. You can take reservations over the phone while people visiting your website are reserving online. As soon as a reservation is booked on either end it will block off that time so nobody else can reserve it in milliseconds.
You can take as much or as little information over the phone as you want or use the Look Up feature. Simply select the persons name, click the time slot and number of golfers and press your Enter key to reserve the slot. There is no need to click the Submit button if you prefer using your Enter key.
Below are some examples:
1. If a golfer is in your system you can use the Lookup block.
a. Do not type quickly.
b. Enter first Or last name and a list will appear to pick from.
c. Click to select the name and all other fields are filled in for you.
2. Enter the Last Name of the person on the phone at a minimum. Time will determine how much information you want to type in during a phone call.
a. After you submit the reservation the person is entered into your database so you can simply use the Lookup feature the next time they call.
b. If you just enter a last name you may want to put the person’s phone number in the Notes block.
c. The Notes block will allow you to see the notation simply by placing your mouse over the name after the reservation is taken.
Note: The system is designed to automatically calculate the time blocked off by the number of players. You can allow for additional time by selecting a time duration. However, you should always us at least 4 golfers in the Number of Golfers block to use League, Tournament or Closed feature.
1. Click the day on the calendar that the League or Tournament will be entered.
2. The first time you enter a League add it to the Last Name block.
a. Example, you can create a Tuesday Ladies League by typing that into the Last Name block.
b. You can enter the term Closed in the Last Name block to Close the course.
c. You can enter the name of the Tournament in the Last Name block.
d. The next time you enter the Tuesday Ladies League, Closed or Tournament use the Lookup block and they will be in the Lookup list.
3. The Reason block is optional. It is provided for additional information that will be visible after you block off the time. It is most often used to give a reason for closing the course. You may find other uses for it.
4. Enter the number of Golfers that will play (example, 30)
5. Click the radio button next to Number of Golfers.
6. Click any block for the start time, 1,2,3 or 4 golfers does not matter.
7. Hit your Enter key or click the Submit button.
8. The system automatically returns you to the day you reserved the time so you can verify your information is correct.
Note1: If you want to check people in individually you will need to add them individually. Otherwise you can edit the number of golfers as they check in.
Note2: At this time there is no way to edit the time of the reservation. If you make a mistake you must delete the reservation and re-enter it.
1. To edit a reservation click the name in the green field.
2. The fields are self explanatory. You can:
1. Change the name on the reservation
i. The name should be entered into the database first
ii. You can click the drop down box and then type the first letter of the last name to go to last names beginning with the letter you type.
2. Delete or add to the number of golfers
3. Check In or Delete the entire reservation and more.
3. If you want to individually check in large groups simply reduce the number as each person checks in. When the group is done checking in you can click the
